We will immediately direct our team of professionals to source lodging with straight-line availability for the project duration.

We will be available! We know these events are stressful and clear communication is imperative. Upon request, Empire will have senior level management on-site within 24 hours.

How will we keep track of rooms, customers and costs?

Empire has developed a proprietary online lodging portal that makes managing the room block and associated costs a breeze. We’ll provide confirmation numbers, give you access to the portal for easy room assignment, and send comprehensive reporting as often as you require. We can see at a glance what rooms are available and who is staying where.

You won’t have to worry about reconciling hundreds of invoices either. We provide full accounting services including assumption of all hotel expenses with consolidated invoicing to you.

As part of the service, our staff will handle all communication with the lodging provider. We notify them of your specific requests, then follow up daily to confirm check in, occupancy, and maintain the contracted room block. This regular communication allows us to promptly address any concerns. As lodging needs end, we manage the customer exit process to meet your deadlines.

Can we also manage the room assignments and customer service?
Yes! If you require extra services, Empire can provide a Customer Support Call Center with translation services. Call Center staff can assign rooms and manage changes, take customer calls, and follow up next day to ensure lodging satisfaction. We will also assign an experienced Customer Service Manager as your direct point of contact for escalations and special placements should they arise.
